Terms & Conditions

1. About Us

Poet Events and Catering is a project of Poet Hospitality Group and a proud member of the Pakistan Restaurants Unity Association (PRU). We provide weddings, events, catering and bulk food supply services in Lahore and across Punjab.

In these terms, “Poet”, “we”, “us” and “our” mean Poet Events and Catering. “You”, “your” and “client” mean the person, family, company or organisation that makes an enquiry or books our services.

2. Our Services

You choose the level of service you need. We offer:

  • Catering Only: food and hospitality at your chosen venue
  • Selected Event Services: support with only the parts of your event you choose
  • Complete Event Planning and Execution: one coordinated plan covering the services you entrust to us
  • Venue Assistance: help exploring suitable venues in Lahore
  • Bulk Food Supply: large volume, one time, recurring or contractual food requirements
  • Government and Institutional Requirements: eligible catering, event and food supply requirements handled through the applicable procurement process

We are responsible only for the services listed in your confirmed quotation. Anything you arrange yourself or through another supplier stays your responsibility, and we will gladly coordinate with those suppliers where you ask us to.

3. Enquiries and Quotations

When you contact us through our website, WhatsApp or any other channel, we will ask for details such as your event date, location, estimated guest count, menu preference and service requirement. The more accurate the information, the more accurate our proposal.

Every quotation we send is based on the information you give us at that time. A quotation is valid for the period stated on it. If no period is stated, it is valid for 7 days. Prices may change if your requirements change, if the quotation expires or if there are significant changes in the cost of ingredients, materials or logistics before your booking is confirmed.

An enquiry or quotation does not reserve your date. Your date is reserved only once your booking is confirmed as explained below.

4. Booking Confirmation

Your booking is confirmed when both of these have happened:

  1. You have accepted the final quotation in writing, including by email or WhatsApp.
  2. We have received the advance payment stated in your quotation.

Once confirmed, the agreed quotation, any written changes we both accept and these Terms and Conditions together form our agreement with you. If a written quotation or contract signed by both parties says something different from these terms, the signed document applies.

5. Payments

The advance amount, payment schedule and final balance date are set out in your quotation. Unless your quotation says otherwise, the full balance must be cleared before the event begins.

Payments can be made through the methods we share with you in writing. Please only pay through official Poet Events and Catering channels and keep your payment receipt. If anyone asks you to pay into a different account, please verify it with us on 0300 4000888 first.

If a payment is not received on time, we may pause preparation for your event, and if it remains unpaid we may treat the booking as cancelled by you. Applicable taxes are charged as required by law and will be shown on your quotation or invoice.

6. Guest Count and Menu Finalisation

We plan food quantities, staff, equipment and logistics around your confirmed guest count. Please confirm your final guest count and final menu by the deadline given in your quotation.

  • If your guest count increases after that deadline, we will do our best to accommodate it, subject to availability, and the additional guests will be charged at the agreed rate.
  • If your guest count decreases after that deadline, the charges will be based on the last confirmed number.
  • If more guests attend than confirmed, we cannot guarantee that food will be sufficient for everyone, and extra servings provided will be charged.Menu items are subject to seasonal and market availability. If an ingredient or dish becomes unavailable, we will offer you a suitable alternative of similar quality and value.

7. Changes to Your Booking

Life changes, and plans change with it. If you need to change the date, venue, time, menu or scope of services, please tell us in writing as early as possible. We will try to accommodate every reasonable request, subject to availability. Changes may affect the price, and any revised cost will be confirmed with you before it applies.

8.Cancellations and Refunds

If you need to cancel, please inform us in writing. The cancellation charges and refund amount will be as stated in your quotation. Where your quotation does not state them, the following applies:

  • Cancellation 30 days or more before the event: the advance payment is adjusted against costs already committed, and any remaining balance of the advance is refunded.
  • Cancellation between 7 and 29 days before the event: the advance payment is non refundable.
  • Cancellation less than 7 days before the event: you may be charged up to the full value of the booking, as ingredients, staff and supplies will already have been arranged.

Instead of cancelling, you may ask to move your booking to a new date. Where we can offer that date, we may carry your advance forward, subject to any price difference.

If we ever have to cancel for reasons within our control, we will refund all payments you have made to us in full.

Approved refunds are processed within 15 working days through the original payment method or another method agreed with you.

9. Venues

If you have your own venue, we will come to you. You are responsible for making sure the venue is available, suitable and approved for catering, cooking, setup and the number of guests, and that we have reasonable access for our team, vehicles and equipment, along with electricity, water and safe working space where needed.

If we help you find a venue, please note that we do not own the farmhouses, marquees, banquet halls, corporate spaces, outdoor locations or heritage settings we suggest, unless we clearly say otherwise. Every venue is subject to its own availability, permissions, rules, charges and the requirements of any relevant authority. Your booking with a third party venue is governed by that venue’s own terms, and we cannot be held responsible for decisions or failures of a venue owner or authority.

Any venue rules about timings, sound, decoration, parking or cleanup must be followed by you and your guests.

10.Food Safety, Allergies and Dietary Needs

From the Kitchens of Poet, With Love. Food is at the heart of what we do, and we prepare and handle it with care and hygiene.

Please tell us in writing, before your menu is finalised, about any food allergies, intolerances or dietary needs among your guests. While we take care to meet these requests, our kitchens handle ingredients such as nuts, dairy, gluten, eggs, sesame and seafood, so we cannot guarantee any dish is completely free of allergens. Guests with serious allergies should take their own precautions.

For safety reasons, food should be consumed during the agreed service time. We are not responsible for any food that is stored, reheated, transported or eaten after the service ends, or food brought by you or other suppliers. If you choose to keep leftover food, you do so at your own responsibility.

11.Service Timings

Our team will arrive and serve according to the timings agreed in your booking. If the event runs beyond the agreed time, extra staff and service hours may be charged at our applicable rates. Delays caused by the venue, other suppliers, guests or circumstances outside our control may affect timings, and we will always do our best to keep your event running smoothly.

12.Equipment, Property and Damage

Crockery, cutlery, serving equipment, décor items and other materials we supply remain our property unless we have agreed otherwise in writing. You will be responsible for any loss or damage to our property caused by you, your guests or your other suppliers, apart from normal wear and tear.

We take reasonable care at your venue. If our team causes damage, please report it to us in writing within 48 hours of the event so we can review it fairly.

13.Respect for Our Team

Our chefs, service teams and coordinators work hard to make your occasion special. We ask that they are treated with courtesy and respect. We may withdraw our team from any situation where their safety or dignity is at risk, and in such cases the booking charges will still apply.

14. Bulk Food Supply and Corporate Agreements

Bulk, recurring and contractual food supply requirements are reviewed individually, based on quantity, frequency, location, menu, logistics, operational capacity and any procurement or compliance conditions. The final scope, pricing, delivery schedule and payment terms are confirmed in a separate written agreement or purchase order, which applies alongside these terms.

15.Government and Public Sector Requirements

For government departments, public sector organisations and institutions, participation in tenders and procurement opportunities depends on eligibility, documentation, timelines, commercial feasibility and the applicable procurement rules. Where a tender document or government contract applies, its terms will take priority over these Terms and Conditions.

16. Photos and Videos

We love sharing our work. We may take photographs or videos of our food, setup and service at your event to use on our website and on our official Facebook, Instagram, LinkedIn, TikTok and YouTube pages. We will not publish photos where your guests can be clearly identified without your permission, and you may ask us at any time not to use images from your event. Just tell us in writing.

17. Events Beyond Our Control

We are not responsible for any delay or failure to perform caused by events outside our reasonable control, such as extreme weather, natural disasters, government restrictions, public holidays announced at short notice, road closures, strikes, power failures, civil unrest or public health emergencies. If this happens, we will work with you in good faith to reschedule your event or adjust the services, and we will apply any payments already made towards the rescheduled booking where possible.

18. Limitation of Liability

We take full responsibility for delivering the services we agree to provide. However, to the extent permitted by law, our total liability for any claim related to a booking will not exceed the total amount you paid us for that booking. We are not liable for indirect losses, such as loss of profit, loss of opportunity or emotional distress, or for losses caused by the venue, other suppliers, guests or circumstances outside our control.

Nothing in these terms limits any right you have under the laws of Pakistan that cannot legally be excluded.

19. Complaints and Feedback

Your feedback helps us improve. If something did not meet your expectations, please let us know during the event so our team can try to put it right on the spot. If that is not possible, contact us in writing within 7 days of the event with the details. We will review every complaint fairly and respond within a reasonable time.

21. Governing Law

These Terms and Conditions are governed by the laws of Pakistan. Any dispute will first be discussed in good faith to reach an amicable solution. If it cannot be resolved this way, the courts of Lahore will have jurisdiction.

22. Changes to These Terms

We may update these Terms and Conditions from time to time to reflect changes in our services or legal requirements. The updated version will be posted on this page with a new “Last updated” date. The terms that apply to your booking are the ones in place on the date your booking was confirmed.
